Refund and Cancellation Policy

This Refund and Cancellation Policy governs the terms under which orders may be canceled and refunds requested on My Hoardings. By using My Hoardings, you agree to these terms.

1. General Policy on Cancellations and Refunds

  • Once a Media Owner approves an order, a Purchase Order (PO) is automatically generated, and the transaction becomes binding.
  • No payment is made at the time of PO issuance. The Media Owner must complete the advertising placement (flighting) and provide proof before any payment process begins.
  • Refunds and cancellations are strictly limited after PO issuance.

2. Cancellation Policy

2.1. Before Seller Approves Order (Before PO Issuance)

  • A Media Buyer may cancel an order before the Media Owner approves it, provided no confirmation has been issued.

2.2. After Seller Approves Order (After PO Issuance – No Cancellations Allowed)

  • Once the Media Owner approves the order, a PO is automatically generated, and cancellations are no longer allowed.
  • The Media Buyer is obligated to proceed with the media campaign as agreed.

Exceptions (Strictly Limited Cancellations After PO Issuance)

A cancellation request may only be considered if:

  1. The Media Owner fails to execute the media placement within the agreed timeframe.
  2. The Media Owner provides false or misleading information about the media space.
  3. A material breach occurs that makes the contract impossible to fulfill.
  • If a Buyer requests a cancellation under one of these exceptions, they must submit a formal request to My Hoardings within [2] business days of identifying the issue.
  • My Hoardings will investigate and decide within [5] business days.

3. Proof of Flighting & Payment to Media Owners

  • Payment to Media Owners only begins after proof of flighting (evidence that the advertisement has gone live) is submitted and verified by My Hoardings.
  • 30 days after proof of flighting, an invoice is auto-generated, and payment processing starts.
  • Payment timelines follow the agreed terms, which can be 30, 60, or 90 days after invoice generation.
  • If a Media Owner fails to provide proof of flighting, no payment will be made, and the order may be canceled.

4. Refund Policy

  • Since no upfront payment is made, refunds are only relevant in cases where:
    • A Buyer has made an advance payment due to special arrangements.
    • A Media Owner has failed to fulfill an order after PO issuance.
  • If a refund is approved, it will be subject to:
    • A processing fee of [1]% of the total transaction amount.
    • Payment issued only after verification and confirmation of non-performance.
    • Refunds processed within [30-45] days of approval.

5. No Refunds for Completed Orders

  • Once the media placement is executed and proof of flighting is provided, the transaction is final, and refunds will not be issued.
  • If a Media Buyer disputes the quality of the media placement, My Hoardings will review the complaint, but refunds are not guaranteed.

6. Dispute Resolution

  • Disputes regarding cancellations and refunds must be submitted to My Hoardings within [5] days of the scheduled start of the advertisement.
  • My Hoardings will act as an intermediary but does not guarantee refunds unless a Media Owner fails to perform.

7. Chargeback and Fraudulent Claims

  • Any attempt to initiate a chargeback without following this policy will result in:
    • Immediate suspension of the user's account.
    • Possible legal action to recover chargeback losses.
  • My Hoardings reserves the right to dispute fraudulent chargebacks with banks and payment providers.
